Most people leave a workshop fired up, then get back to the shop, the salon, the site, and by Friday it's gone. The steps blur. The one clever thing they saw stays in the room. Nothing changes.
This card is the fix. It's the one page that turns "that was interesting" into "I actually use this every day." Print it, stick it by the till, or keep it on your phone. It's the whole thing on a single page: the five steps to set your Project up, the one bonus move that does most of the work, ready-made instructions you can copy word for word, and a week of prompts to try.
The magic of a ChatGPT Project is simple: you tell it about your business once, and every conversation after that already knows. No re-explaining. No blank page. But only if you set it up properly, and remember to actually use it. That's what this card is for.

Recap · your 5 steps
- Open the ChatGPT app on your phone (or the web).
- Tap Projects → + New Project.
- Name it after your business (add a colour or emoji if you fancy it).
- Add one instruction: what you do, who it's for, and your tone.
- Ask it something real, a review reply, a social post, anything.
The bonus move
One project, many chats.
Once your project is set up, every new chat you start inside it already knows your business. Need a review reply today and a social post tomorrow? Two different chats, same project, zero re-explaining. That's the whole trick.
Going further
As you get comfortable, try separate projects for different parts of the business, one for marketing, one for customer replies, one for admin, each with its own files and instructions.
Starter instructions · copy and adapt
"I run a [type of business] in [town/area]. My customers are [who they are]. Keep everything warm, simple and [3 words for your tone]."
"Always mention [thing you always want included, e.g. opening hours / booking link]. Never [thing to avoid, e.g. discount codes / prices you haven't confirmed]."
Prompts to try this week
- "Write a reply to this customer review: [paste review]"
- "Give me three social media post ideas for this week"
- "Draft a short email to customers about [upcoming offer/event]"
- "Remind me what [regular customer] usually orders, so I can suggest something new"
- "Help me keep track of stock and when things need reordering"
One safety reminder: keep passwords, bank details and full customer records out of it. Everything else is fair game.
